Privacy Policies in General . . .

The Privacy Policy per se, as it currently exists, is a series of statements posted on a web site that define what kinds of personal information are received by that site, who has access to that information and how it is used, how it is protected from unauthorized access, how a user may review and update their information and various attendant issues. And no less formidable a force than the Federal Trade Commission has now pronounced the Privacy Policy to be a legally binding representation.

And who, may we ask, wants to argue with them?

But the debate rages on. In the aftermath of the 9-11 attacks on the World Trade Center, the intelligence community quickly moved to expand their authority to monitor electronic communications. Privacy isn't so private anymore, regardless of what they are telling us, folks!

Anyway, we here at the Ancient & August Order of the Rings are committed to preserving the concept of user privacy. Therefore, we have decided to go with the flow and disclose our privacy practices. Eventually, we will probably end up having these privacy practices reviewed for compliance to TRUSTe guidelines, just to cross all our t’s & dot all our i’s. See, if we go that route, then we’ll be allowed to display that little TRUSTe seal of approval and everybody will like us. The only reason we haven’t done this yet is because of the annual fees. Nonetheless, we have no problem letting everyone know where we stand with information privacy. So here goes. . .

The Ancient & August Order Of The Rings is committed to honoring the privacy of our Members and Friends. Our Privacy Policy, part of our overall Terms of Service, covers personally identifiable information shared through our on-line services.
What information do we receive and how do we use it?

Currently, we do collect names, addresses and other personal information regarding our users in the course of operating this site. The reason we do this is twofold. . . first, we are a social organization and it kinda helps us to better serve our contacts, mainly those people who express an interest in the activities we promote. . . second, like any other business, we are always trying to improve our knowledge of our customer base. When we ask you to register with us, either on our site or elsewhere, we may ask you for your name, contact information, and perhaps certain demographic information as well. This information lets us provide personalized services and communicate separately with you.

We also may use aggregated information about the use of our shopping services to evaluate our users' preferences, to improve our shopping service, and facilitate third-party reporting of internet usage.

Finally, like most web sites, we may use small bits of data called cookies stored on users' computers to simulate a continuous connection. Cookies let us "remember" information about your preferences and passwords and allow you access to our special services without reintroducing yourself. Recent versions of Internet Explorer, Netscape & Mozilla browsers let you easily see and control cookies. Unlike many other sites, we do not plan to permit third-party advertisers not affiliated with The Ancient & August Order Of The Rings send you cookies without notice.

May I choose what information I disclose?

While we need certain information to register you as a unique user and let you access certain special areas of our site, other requested information is optional and may be given at your discretion.

May I choose what communications I receive?

We periodically send out an email alerts to our Members and Friends to keep them apprised of Order activities and/ or highlight new features of our on-line services. You can elect not to receive these communications from us or from other parties, either when you register or by noting your preference in response to communications from us. On rare occasions, it is necessary to send out a strictly service related announcement. For instance, if our service is temporarily suspended for maintenance we might send users an email. Generally, users may not opt-out of these particular communications since they are not promotional in nature and for informational purposes only.


What if I need to review or change the personal information I previously disclosed?

We encourage all our Members and Friends to update and edit their personal information and keep it current. You can easily correct or update your personal information at any time via e-mail. In time, we hope to have such things automated via our online presence. We're just not that far along yet.

What kind of security is used to protect my information?

All of our users’ information, not just the sensitive information mentioned above, is restricted in our offices. We store all user information in secure databases protected via a variety of access controls. This data is accessed only for the purposes specified in this privacy statement. Only employees who need the information to perform a specific job (for example, our billing clerk or a customer service representative) are granted access to personally identifiable information.All user id's and passwords are encrypted. Further, we have secure off-line storage under alarmed lock and key at undisclosed locations which are undisclosed for what should be obvious reasons.


Who has access to my information?

We do not share any personal information with third parties (apart from those acting as our agents in providing our Service to you, who agree to use it only for that purpose). We do compile demographics that generally describe our . . . what’s the word?. . . "viewership", mainly to keep a handle on what works on our site and what doesn’t. And if sharing such demographics with a potential advertiser can help bring in some always welcome funds, well, so be it. After all, demographics make the advertising world go round, keeping in mind of course that demographics per se are defined as generalities and not specifics.

At the moment, we have no advertisers, so no one should have any squawks. In the future, should we acquire some advertisers, the names of said advertisers will be posted right here. Of course, any one interested in such developments will kinda know what's going on anyway, as . . . uhhh. . . oh yeah. . . ADS!! . from the advertisers in question simultaneously will appear on this site. This is not rocket science, folks. As we do not share specifics, the paranoid need not worry. We do not offer mailing lists for sale or any of that sort of stuff. Hey, we're not real fond of telemarketers either. They always seem to call with such wonderful timing, don't they?

Our web site contains links to many other sites. Please be aware that we, The Ancient and August Order Of The Rings, are not responsible for the privacy practices of such other sites. We encourage our users to be aware when they leave our site and to read the privacy statements of each and every Web site that collects personally identifiable information. Our privacy statement applies solely to information collected by this Web site. The only situation where we would share specific personal information comes if we are required to by law and such action is necessary to comply with a current judicial proceeding, a court order or legal process served on our Web site.


What about other companies featured at our site?

You may separately agree to provide your information to other companies who provide services through Ancient and August Order Of The Rings affiliations, in order to use their services, order their products, or receive offers from them. If you agree to provide information to these companies, that information will be subject to their privacy policies.


What about children's information?

While Membership in our Order is closed to minors, kids may use any of our services that do not require someone to be at least 18 years old. However, we actively encourage parents to closely monitor all their children's on-line activities, especially surfing via links. Without a doubt, many kids are very interested in the Realms of Myth & Magic, but unsupervised exploration of them is NOT something we recommend or condone, surprise, surprise, EVEN for adults. And while we make every effort to police the links we provide, once someone leaves the safety of our Keep, we cannot be responsible for what they may encounter, on the path or off.


Notification of changes

If we decide to change our privacy policy, we will post those changes to this privacy statement, our homepage, and other places we deem appropriate so our users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. We will use information in accordance with the privacy policy under which the information was collected.

When you visit a web site displaying the TRUSTe mark, you can expect to be told what personally identifiable information is collected, how it is used, and with whom it will be shared, just like we do here. And while we have not yet signed on with TRUSTe, as discussed above, to demonstrate our commitment to respecting your privacy, we have decided to disclose our information practices anyway.
